What happens when a licence expires — app by app, in plain terms

The answer first: your files do not disappear. A licence decides whether an application opens and what it is allowed to do. It does not decide who owns the PSD, the DOCX or the video project sitting on your own drive. What ends on the expiry date is access to the software, and sometimes the right to keep files on the vendor’s cloud above the free allowance.

Five things to have ready before that day.

• The real expiry date, read from the vendor’s own account page, not remembered from an old WhatsApp message.
• The email address the licence is attached to. Everything hangs on it, renewal included.
• A local copy of anything that exists only on the vendor’s cloud — an external drive, or a second cloud account.
• Administrator access to the machine, in case an app has to be signed out of or reinstalled.
• Twenty free minutes on the day itself, so you do not meet a sign-in wall an hour before a delivery.

Work through this in the seven days before the date, in this order.

1. Open the vendor’s own account page and read the date there: Adobe at account.adobe.com under Plans, Microsoft at account.microsoft.com/services, Google at one.google.com, Bitdefender in Bitdefender Central, Apple Music under Subscriptions in your Apple account, CapCut in the profile tab of the app.
2. Put that date in your phone calendar with an alert three days earlier.
3. Finish and export anything with a deadline. Deliver client work before the date, not after it.
4. Download every file that lives only on the vendor’s cloud, then open the copies to check they are really there.
5. Note which Adobe Fonts your live layouts use. Activated fonts deactivate with the subscription, and pages reflow when they do.
6. Decide plainly: renew, or stop. Both are fine. Drifting past the date is the option that costs you.
7. If you renew, send a WhatsApp message two or three days ahead. Renewals here are handled by hand, not by an automatic billing system.

Do steps three and four even if you fully intend to renew. A renewal that lands a day late only hurts if the work was due that morning.

Adobe Creative Cloud. The apps stop opening. You get a sign-in screen instead of Photoshop, and there is no read-only mode. Your files stay where they are and open again on any machine with a valid licence. The exposure is in the cloud: Cloud Documents, synced Lightroom libraries and the 100 GB of storage all fall back to the free allowance. Adobe warns before removing anything over the limit; do not lean on that warning. Check your status at account.adobe.com under Plans.

Microsoft 365. Gentler. The account moves to reduced functionality: Word, Excel and PowerPoint still open, display and print your documents, but you cannot edit or save. Nothing is deleted. OneDrive falls from 1 TB back to the small free allowance, and if you are above it the drive goes read-only. The free browser versions at office.com still allow editing with an ordinary Microsoft account, which is often enough to finish a deadline. Confirm under Services and subscriptions in your Microsoft account.

CapCut Pro. The app keeps running as free CapCut. Projects open, the timeline is intact, nothing is deleted. Pro-only effects, filters, voices and AI tools show a lock, and an export containing them may be refused, watermarked or stripped. Run one test export before promising a delivery time.

Five problems come up often enough to name.

• Apple Music downloads go silent. Downloaded tracks were licensed, never owned, so they stop the day the subscription does. Your library and playlists stay attached to the Apple ID and return if you subscribe again. Anything bought outright from the store still plays.
• Google Drive refuses uploads. When Google AI Pro ends, the storage that came with it ends too. Above the free allowance, Drive and Photos go read-only and incoming mail can eventually be rejected. Delete or download until you are back under the limit.
• Windows says nothing is protecting the PC. An expired Bitdefender stops updating and stops protecting. Open Windows Security and confirm Microsoft Defender switched itself back on. Do not assume that it did.
• The app still says expired after a renewal. Sign out completely, sign back in with the same address the licence is attached to, then restart the machine. Licences attach to accounts, not to computers.
• The renewal went to the wrong address. A different email creates a second, empty account with none of your history. Send the exact address before paying, spelled out character by character.

Renewal here is manual. There is no card on file and no automatic billing, which means nothing renews behind your back — and nothing renews unless you ask. Message a few days before the date rather than the morning after it.

• Adobe Creative Cloud — 400 MAD for 4 months, so 400 ÷ 4 = 100 MAD a month.
• Microsoft 365 — 100 MAD for 3 months, about 33 MAD a month.
• CapCut Pro — 700 MAD for 1 year, so 700 ÷ 12 is roughly 58 MAD a month.
• Google AI Pro — 250 MAD for 1 year, close to 21 MAD a month.
• Apple Music — 50 MAD for 3 months, about 17 MAD a month.
• Bitdefender Total Security — 399 MAD for 1 year across 5 devices, roughly 80 MAD per device for the year.
